Outlook 2003 interaction between rules and tray icon
Hello,

I'm using outlook 2003. I have a rule that moves matching messages to a folder. When messages matching this rule are received, outlook does not show the tray icon (yellow envelope). The only way to find out if these messages have arrived is by opening outlook. How do you make outlook show the tray icon for these messages?

I have 11 rules. The rule in question is the very first one: If mail was sent to mail alias abc, move it to folder xyz.

I take it the alias is a subaccount?
The new mail notification appeared for me, but my condition was based on the Subject line only.


Have you tried disabling the other rules to see if the mail notification icon appears?
Also try using the Action: Stop processing more rules for that rule.

Or, create a new profile in Outlook and setup that one rule to see if it will work as expected in the new Outlook profile:

In the Rules and Alerts, you can add another action: Display a desktop alert and or Display a specific message in the New Item Alert window, the specific message Alert window would only appear when that rule is triggered.

Thanks for your detailed response.

1. I don't know what you mean by subaccount.
2. I tried disabling all the other rules, but it did not help.
3. Adding the 'Stop processing more rules' did not help.
4. I don't want to create a new profile because it creates new data files.
5. Desktop alert and New Item Alert window do work. May be I'll use desktop alert for these messages though I don't like them. There should really be a 'Show tray icon' action.

My XP has service pack 3. I followed the firewall instructions on the page below, but that did not help:

A subaccount would be a second e-mail address under your e-mail address, it contains the same domain. I have the option of creating several e-mail addresses with my ISP.

There is an option in Tools > Options > E-mail Options > Advanced E-mail Options
to show the mail icon, if it was not enabled, you would not see the mail icon in the notification tray, period.

The test I ran earlier did cause the new mail icon to appear in the notification tray.
It may have something to do with your Reply address (mail alias). You have that (alias) e-mail address setup in Outlook, as well, correct? Do you have any other Rules that affect that e-mail address?


As a test, try creating a rule that is based on the subject line and have that message moved to a Test folder.
I used the words: Move me to test in the subject line and the Rule moved the message to the Test folder. I sent the e-mail to myself to test the Rule.
Try that rule to see if the new mail icon appears in the notification tray when you send the Test message.

I tried a rule based on the subject line that moved the message to a folder. It did match the message and move it, but still no tray icon.

The email account is the one I use at work - it's most probably not a subaccount.

The option to show mail icon is enabled.

To provide more info, my outlook version is 'Microsoft Office Outlook 2003 (11.8217.8221) SP3'.

Is this a work computer or your own computer at home?

I suppose you could try toggling the Show the mail icon in the notification tray off, then back on, but your best bet would be to setup the rule in a new Profile. Yes, Outlook would create one new .pst file. Which can later be deleted.

Though, if you don't want to do that, the only other suggestion would be to run the /cleanrules switch when starting Outlook 2003 and recreating your rules.

As for the link you posted, did you migrate from Windows 2000 to Windows XP SP2 using Exchange Server? If not, I don't believe it applies in your case since you are seeing the mail notification icon when messages are received in the Inbox.

This is a computer at work.

As I had said earlier, adding 'Desktop alert' action works. That's an acceptable solution for me. Come to think of it, I like it this way because then I can pick and choose which rules have this action, since I do not want the tray icon to be displayed when certain rules that move messages to certain folders are executed - this has suddenly become a feature!

Though we did not figure out why the tray icon does not show, as far as I'm concerned, this issue is now resolved.
